RULES AND REGULATIONS
Event Management, in its sole discretion, reserves the right to enforce absolute compliance with all promulgated rules and regulations. Exceptions to these regulations are prohibited.
THE PROMOTERS: Two Girls Media LLC, referred to hereafter as “Management.”
SPACE ASSIGNMENT: Management reserves the right to determine booth location. Booth sharing is not permitted without consent of management. Vendors may not assign their booth or any portion thereof to any other person for any reason.
BOOTH FEES: Booth fees are payable in full with application. Full funds must accompany a signed contract to be valid. Vendors will not be allowed to occupy any booth not fully paid for. In such case, any booth space money received shall be considered a non-refundable deposit.
DISPLAY REGULATIONS: No exhibit may block or interfere with a neighboring booth. Vendors shall confine all exhibit activities within the limits of the booth. All materials and activities in a booth shall be relevant to the Vendor’s products and/or services. Absolutely no exhibits are permitted outside the contracted booth space without express written permission from Management. All exposed structures must be properly covered. Nothing may be nailed, tacked, screwed, or otherwise attached to the columns, walls, floors or furniture in the event area. Decals or stick-on display materials cannot be affixed to floors or walls. Violators will be responsible for removal and charged for cleaning. Any expense incurred in affixing items in a manner necessary for the protection of the equipment or furniture will be borne by the Vendor.
BOOTH SETUP: Scheduling of vehicle entry will be made in advance of the event. The schedule will be strictly enforced. Displays must be kept in an orderly and neat appearance. All exhibitor tables MUST be draped to the floor and sides covered with fire retardant tablecloths. No cardboard boxes will be permitted on top of tables.
Management will not assume any liability for any injury that may occur to Event visitors, Vendors or their agents and employees or others or their property, during Event setup and dismantling periods. Any Vendor using the services of an independent decorating company assumes all liability for the acts of that decorator during installation or dismantling under this contract. No outside contractor employed by a Vendor is allowed to solicit work from any other Vendor on in the event space.
BOOTH TEAR DOWN: No early packing may be started before the event closing. Cooperation on this point from all Vendors is required. Failure to comply with this request will result in loss of future exhibition privileges. All exhibits must be removed from the event space by one hour after event close, unless arrangements were made with Management prior to end of Event. If no arrangements were made, exhibit will be removed by the event decorator at the Vendor’s expense.
STAFFING: Booth spaces must be staffed at all times. Management shall have the authority to adopt and enforce all rules and regulations regarding booth staffing.
VENDOR LIABILITIES: Vendor shall keep contracted area neat, clean and in good order. If the occupied space or any area of the venue is damaged by the participant and/or his employees, the contracted Vendor is liable. Vendor hereby agrees to indemnify and hold harmless the Event, Two Girls Media, and all their managers, officers, sponsors, employees, agents, guests, successors, the town the event is located in, the owner of the venue, and all its employees and assigns from any damages, expenses, losses of liabilities, including but not limited to any suit or claim for personal injury, product liability, property damage or loss of use of property by whosoever sustained on or about Vendor’s participation in the Event.
FOOD & BEVERAGES: Vendors may sell foods and beverages only if they are contracted to do so. No sales or distribution of intoxicating beverages or substances allowed.
NO SMOKING: Smoking is not permitted in the venue during setup, tear down, or Event hours.
INSURANCE: Vendor shall carry general casualty liability and property damage insurance coverage (including premises, operations and contractual liability) of at least $1,000,000 for such liability together with statutory worker’s compensation coverage with a limit of at least $100,000. All vendors must provide a certificate of $1,000,000 Liability Insurance two weeks before the event to Management. “Two Girls Media at 2 Cliffside Trail, Denville, NJ 07834” must be named at the additional insured. If you do not submit this document, you will not be able to participate AND you will not be refunded your contract fee.
CLEANING OF SPACES: Management will maintain festival grounds. Vendors must, at their own expense, thoroughly clean their space and leave it in the same condition as they are found to be in at the time of inspections. All garbage MUST be placed in designated waste receptacles, not in your space.
SUBLEASE: Subleasing tables is expressly prohibited. Sharing a booth or table with another Company, unless contracted and approved by Management, is expressly prohibited. The distribution of samples, literature or other materials for a non-exhibiting company without an Event contract is expressly prohibited.
VENDOR RESPONSIBILITIES: The Vendor agrees to comply with all applicable local, federal, and state tax and other laws relating to the sale of goods or services, and to obtain, pay for, and display all necessary licenses and permits, and to pay all taxes and levies insofar as the Vendors own participation in the Event is concerned.
All food vendors must have proper licenses and obtain a health permit (and fire permit if required). NO
EXCEPTIONS. If you do not submit completed forms and payment prior to the temporary food permit deadline, you will not be able to participate AND you will not be refunded your contract fee.
CANCELLATION CLAUSE: Any Vendor wishing to cancel Event space reservation for reasons of their own may do so in writing. All fees are non-refundable. Any cancellation will be accepted, but no refund of booth space money will be made.
All payments are non-refundable and non-transferrable. In the event of a date change, the funds will be transferred to the new date but not refunded or transferred elsewhere.
FORCE MAJEURE: In the event any part of the booth or any portion thereof is unavailable whether for the entire event, or a portion of the event as a result of fire, flood, tempest, pandemic, or any other such cause, or as a result of war, strike, lock-out, labor dispute, riot or any other cause or agency over which the Event has no control, or should the Management decide that because of any such cause it is necessary to cancel, postpone or re-site the Event, or reduce the installation time, Event time, or tear down time, Management shall not be liable to indemnify or reimburse the Vendor in respect of any damage or loss, direct or indirect as a result thereof.
AMENDMENTS: Management shall have full power in the interpretation and enforcement of all contract regulations contained herein, and the power to make such amendments thereto, and such further rules and regulations as shall be considered necessary for proper conduct of the Event. All Vendors will be promptly notified of any changes to these rules.
